This Privacy Policy explains how ConciseHQ (“Company,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards personal information when you access the ConciseHQ website at https://concisehq.com and any related web or mobile applications, APIs, and services (the “Service”). By using the Service, you agree to the practices described here. This Policy works together with our Terms of Service.

Scope

This Policy applies to personal information we process as a controller when you browse our site, create an account, use the Service, contact support, or interact with us. It does not apply to third-party websites, services, or integrations that are governed by their own policies.

Information We Collect

Account & Contact Information

Name, email address, password or auth tokens, organization, role, and communication preferences you provide when registering or contacting us.

Payment Information

We use third-party payment processors (e.g., Stripe) to handle payments. We receive limited billing metadata (e.g., last4, card brand, expiration month/year, billing address, subscription status) and do not store full card numbers or CVVs on our systems.

Usage, Logs, and Device Data

IP address, device identifiers, browser type, pages viewed, referring/exit pages, timestamps, language, crash reports, and interaction events for security, analytics, and service diagnostics.

User Content and Prompts

Inputs you provide (e.g., prompts, watchlists, notes, files) and outputs generated by the Service. Do not input material non-public information (MNPI), highly sensitive personal data, or confidential information you are not authorized to share.

Cookies and Similar Technologies

We use cookies, local storage, and similar technologies to remember settings, keep you signed in, deliver essential functionality, measure performance, and understand how the Service is used.

How We Use Information

  • Provide, operate, maintain, and improve the Service, including AI-powered analysis, visualizations, and insights.

AI Disclosures: Inputs, Outputs, and Improvements

The Service uses AI models to process prompts and generate outputs. AI systems can produce errors, omissions, and biased or misleading results. Always review outputs and verify with original sources before relying on them.

  • Model Improvement. We may use User Content and usage signals to maintain, secure, and improve the Service and our models. For enterprise or regulated customers with a signed agreement or DPA, we will follow the data use restrictions in that agreement. You can request to opt out of model-improvement use by contacting support@concisehq.com.
  • Third-Party Models and APIs. Where we rely on third-party model providers or infrastructure, your inputs and outputs may be processed by those providers to deliver the Service, subject to appropriate confidentiality and data protection commitments.
  • No MNPI. Do not input MNPI or confidential information you are not authorized to share. You are responsible for complying with applicable laws and obligations.

How We Share Information

  • Service Providers and Subprocessors. Hosting, storage, analytics, security, customer support, email delivery, logging, payment processing, and AI/model infrastructure providers that process information on our behalf under contractual safeguards.
  • Legal, Safety, and Compliance. To comply with law, enforce our terms, protect our rights, users, or the public, and respond to lawful requests.

We do not sell personal information as the term “sell” is commonly defined by U.S. state privacy laws. We also do not knowingly share personal information for cross-context behavioral advertising without your choice.

Data Retention

We retain personal information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements, then take steps to delete or anonymize it. Retention periods may vary by data type and use case. You can request deletion.

Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information. No system is 100% secure. You are responsible for maintaining the confidentiality of your credentials, implementing appropriate access controls, and promptly notifying us of suspected unauthorized activity at support@concisehq.com.

Residents of certain U.S. states may have the right to know what categories of personal information we collect, use, disclose, and the purposes; to access and delete personal information; to correct inaccuracies; to opt out of sale or sharing for cross-context behavioral advertising; and to limit the use and disclosure of sensitive personal information.

  • Opt-Out of Sale/Sharing. If applicable, you may exercise your rights via in-product controls or by contacting support@concisehq.com. We do not knowingly sell personal information.
  • Authorized Agents. You may use an authorized agent; we will take steps to verify requests.
  • Appeals. If we deny your request, you may appeal by replying to our decision email.

Categories we collect may include identifiers, commercial information, internet/network activity, geolocation inferred from IP, and inferences from usage. Sources include you, your devices, and service providers. We use and disclose these categories for the purposes described in this Policy.

Privacy

The Service is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, contact support@concisehq.com so we can take appropriate action.

Data Processing Addendum (DPA)

Where required by law or for enterprise customers, we offer a Data Processing Addendum governing our processing of personal data on your behalf. If a signed DPA or enterprise agreement conflicts with this Policy, the signed agreement controls for the conflicting subject matter.

Changes to This Policy

We may update this Policy from time to time. Changes are effective when posted at https://concisehq.com. If we make material changes, we will provide additional notice as appropriate. Your continued use of the Service after changes become effective signifies your acceptance of the updated Policy.

Third-Party Services

The Service may link to or integrate with third-party services (e.g., payment processors, analytics, hosting, AI providers). Your use of such services is subject to their terms and privacy policies. We are not responsible for the privacy practices of third parties.

For payments, we use Stripe to process transactions. Stripe handles your payment information pursuant to its terms and privacy policy. We receive limited billing details and subscription status to administer your account.
